Called to order at 7:34am

Roll Call: Wayne Mosley, David Nichols, Alicia Hirnikel, Georgia Bergan, Gus Janszen.
Excused absent: Pamela Meyers, Stiney Vonderhaar and John Doviak.

Recognition of visitors: none

Motion to approve September minutes made by Georgia Bergan; seconded by Gus Janszen. Motion approved.

New Business:
A. National Alliance for Youth Sports Excellence in Youth Sports Award
  • Kristen Maiden, Program Supervisor of Sports, has been submitting entries for this award for several years. This year we made the top 26; and in September, Kristen was notified that the department was one of five recipients that won the 2011 NAYS Excellence in Youth Sports Award. This award is a wonderful reflection on not only the department, but also for the Village of Evendale. Many residents and parent volunteer coaches answered surveys leading-up to this award.
  • The presentation submission can be viewed on the village website.
 ld Business:
A. Lifestyle Essentials Report
  • Operational RFP has been let. Advertising was placed in the paper on Monday, October 17, and again on Monday, October 24. A mandatory tour of the facility will take place on Tuesday, November 1st; and the bid opening will take place on November 10, 10:00am.
  • When Gus is in the fitness center; he is (still) not seeing much interaction between LE staff and patrons. David did reduce the staffing hours in the RFP by 7%.
B. Evendale Bike Master Plan update
  • Public input meeting to be held on Tuesday, November 15th at 7:00pm, at the Recreation Center.
  • David has budgeted funds for the next phase in the 2012 budget for the bicycle master plan.
  • The Glendale-Milford Road shared path markings still have not been completed. David keeps asking the Village Engineer when this will be completed (hopefully this month).
  • Gorman Heritage Farm continues on their five year master plan, and the plan should be done by the end of the year.
 irector’s Report:
  • Gym Facility Fee Matrix was distributed for members to review. Currently, only one resident or business person has had to play on one of our program teams in order to reserve our courts. A business person could also rent a basketball court or baseball field. David and Kristen are developing a policy and fee structure based on the fees and guidelines of surrounding recreation centers and private facilities.
  •  A slit seeder was used to seed soccer field #3; and the divots have been filled. If all goes well over the winter, the field will be back in use for the spring soccer season. Regarding the U-8 soccer field, Gus suggested turning it more North/South; this would get it out of the #2 baseball diamond. In addition, Gus suggested using soccer field #3 for 11v11 play.
  • Halloween Fest is Saturday, October 22nd, from 6:00-10:00pm. We hope to see everyone there.
  • Council Committee will consider the idea of designating our playing fields as non-smoking locations. As a coach, Gus greatly appreciates this. It will allow coaches to ask someone who is smoking  to move away from players and spectators if this policy is in place.
Phi Lambda Pi Report:
  • The Haunted Trail, part of the Halloween Fest event, has 30-40 kids working the trail on Saturday. This is an average work force for the trail. The teens do turn on the lights for the little kids brave enough to go through the trail. Alicia and Kelsey Boyd have been designing and coordinating the project.
  • Entertainment Book sales continue; but members are reminded to purchase their books soon. The 2011 edition expires on November 1st.
  • The teens are having a Pampered Chef fundraiser.
  • The annual holiday party is December 3rd; dinner, Lazer Kraze, bowling, and the arcade precede the overnight portion at the Recreation Center.
  • Twenty members attended last night’s weekly event.
Open Discussion:
  • Basketball is starting soon. Wayne will not be coaching this year, his son has moved on to college.
  • Wayne will also be “retiring” from Recreation Commission at the end of the year when his current term ends. The Mayor is looking for an Evendale business representative for commission.
